Do not submit confidential employer, client, fund, investor or personal information through course forums, assessments or support channels.

4. How we collect information

We may collect information:

  • directly from you;
  • automatically from your browser or device;
  • through The Fund Accountant Academy;
  • from the academy platform relevant to your enrolment;
  • from payment providers;
  • from email or WhatsApp correspondence;
  • from authentication or course-support services;
  • from an authorised email-delivery provider; and
  • from analytics services where you have provided the required consent.

5. Why we use personal information

We may use personal information to:

  • provide the website, free assessments and requested downloads or resources;
  • answer course and support enquiries;
  • process enrolment and provide course access;
  • maintain learner accounts;
  • record progress and certificate completion;
  • operate discussion forums;
  • process payments, invoices, refunds and disputes;
  • send necessary course, account and security communications;
  • send marketing emails where we have an appropriate legal basis;
  • maintain marketing preferences and suppression records;
  • diagnose technical problems;
  • protect accounts, content and services from misuse;
  • administer promotions;
  • measure website use where consent has been provided;
  • improve course and website content;
  • maintain business, GST, tax and accounting records;
  • enforce our Terms of Use;
  • establish, exercise or defend legal claims; and
  • comply with applicable legal obligations.

Depending on the applicable law and circumstances, we may rely on:

  • performance of a contract;
  • steps requested before entering a contract;
  • compliance with a legal obligation;
  • consent;
  • legitimate business interests that do not override individual rights; or
  • another lawful basis recognised by applicable law.

Where we rely on consent, you may withdraw that consent at any time. Withdrawal does not affect processing already lawfully completed.

6. Service emails and marketing emails

Marketing emails are different from service emails.

Service emails

We may send service emails reasonably necessary to manage an enquiry, purchase, account or course.

These may include:

  • payment and invoice confirmations;
  • course-access information;
  • account or security notices;
  • responses to support requests;
  • certificate information;
  • important changes affecting a purchased course;
  • refund or payment-dispute information; and
  • legally required notices.

Service emails may be necessary to perform a contract, provide a purchased course, protect an account or comply with law.

Unsubscribing from marketing does not stop necessary service emails.

Marketing emails

We may send occasional emails about:

  • new or updated courses;
  • webinars and educational sessions;
  • free fund-accounting resources;
  • course announcements;
  • discounts and promotional offers; and
  • other closely related learning opportunities from The Fund Accountant.

We will send marketing emails only where:

  • you have actively agreed to receive them;
  • applicable law permits us to contact an existing customer about our own similar courses or services and all requirements for that permission have been satisfied; or
  • another lawful basis is clearly available under the law applicable to the recipient.

Where we rely on consent:

  • the marketing choice will be separate from acceptance of our Terms;
  • consent will not be required to purchase or access a course;
  • the choice will not be preselected;
  • we will record when, where and how consent was provided; and
  • you may withdraw consent at any time.

Every marketing email will provide a clear way to unsubscribe.

You may also request to stop marketing emails by contacting info@thefundaccountant.com.

When you unsubscribe:

  • we will honour unsubscribe requests promptly and stop future marketing emails;
  • course access and necessary service emails will not be affected; and
  • we may retain a minimal suppression record so that your email address is not accidentally added back to a marketing list.

Email consent does not automatically authorise marketing through WhatsApp, SMS, telephone calls or another communication channel. Where required, consent for those channels must be obtained separately.

We do not sell or rent learner email addresses for another organisation’s independent marketing.

Taking a free assessment does not give consent to marketing. We do not direct promotional marketing to people known to be under 18.

7. Google Analytics and consent

We may use Google Analytics 4 to understand how visitors use the marketing website.

Google Analytics must not load or transmit analytics information until the visitor has actively accepted analytics cookies or similar technologies through the website’s consent controls.

If analytics consent is granted, Google Analytics may process information such as:

  • pages visited;
  • approximate location;
  • device and browser information;
  • referral information;
  • interactions with website features; and
  • campaign information.

We configure marketing-site analytics not to send:

  • names;
  • email addresses;
  • telephone numbers;
  • payment information;
  • free-assessment answers; or
  • free-assessment scores.

You may reject analytics without losing access to the website, free assessments or course information.

You may change or withdraw your analytics choice using the Cookie settings control in the website footer.

Withdrawing consent stops future analytics collection from that browser. It may not remove information already lawfully processed or included in aggregated reports.

Google’s independent privacy information is available at:

https://policies.google.com/privacy

8. Cookies and browser storage

The website may use strictly necessary browser storage for purposes such as:

  • security;
  • remembering privacy choices;
  • preserving free-assessment progress;
  • remembering a motion or accessibility preference; and
  • maintaining the current browsing session.

These functions are necessary for a feature requested by the visitor or for the website to operate properly.

Analytics cookies or similar technologies are optional and must not be activated until analytics consent has been given.

Campaign parameters may be retained temporarily for the current browser session so that the source of a visit can be associated with navigation or conversion events.

You can clear cookies and locally stored assessment progress using your browser controls. Clearing browser storage may reset your assessment progress and consent preference.

9. Academy platforms and The Fund Accountant Academy

Course checkout, hosting, learner accounts and content delivery may be provided through third-party academy platforms used by The Fund Accountant, including Graphy and TrainerCentral. The platform applicable to your purchase will be identified during enrolment or in your access instructions.

Graphy and TrainerCentral may process information needed for enrolment, payment coordination, learner access, course delivery, progress records, certificates, discussion forums and support. A particular provider receives information only when it is relevant to that learner’s transaction or course access. Their own privacy terms may also apply to their processing.

The Fund Accountant remains responsible for its own website, marketing and direct communications. Academy platforms are independent service providers and are not owned by The Fund Accountant.

The applicable platform’s privacy information is identified during enrolment or in course-access instructions. Our website policies are the Privacy Notice, Terms of Use and Refund Policy.

10. When we share information

We may share relevant information with:

  • the applicable academy platform;
  • payment processors and banking partners;
  • Cloudflare and hosting or security providers;
  • authorised email-delivery and course-communication providers;
  • authorised instructors and learner-support personnel;
  • accounting, GST, tax, legal and professional advisers;
  • analytics providers where consent has been given;
  • government, regulatory or law-enforcement authorities where legally required;
  • parties involved in preventing fraud or enforcing our rights; and
  • a purchaser or successor if the business is reorganised, transferred or sold.

We require service providers to receive only the information reasonably needed for their role, subject to their contracts, applicable law and independent responsibilities.

We do not sell personal information to data brokers.

We do not use free-assessment answers or learner records for third-party behavioural advertising.

11. International processing

Some service providers may process information outside your state or country.

This may include processing in India, the United States, the European Union or another location used by our academy platforms, Cloudflare, Google, payment providers, communication services or email-delivery providers.

Where applicable law requires safeguards for international transfers, we will use the appropriate contractual, organisational or legal measures available for the relevant transfer.

12. Retention

We retain personal information only for as long as reasonably necessary for the purpose for which it was collected and for applicable legal, GST, accounting, tax, security and dispute-resolution requirements.

Typical considerations include:

  • enquiry and support correspondence may normally be retained for up to three years after the last meaningful interaction;
  • academy account, course-access and progress information may be retained while access is active and for a reasonable period afterwards for support, certificate verification and dispute management;
  • transaction, invoice, GST, tax and accounting records are retained for the period required by applicable law;
  • consent records may be retained while consent is active and for a reasonable period afterwards to demonstrate the recorded choice;
  • suppression records may be retained for as long as reasonably necessary to prevent an unsubscribed email address from being accidentally used again;
  • marketing campaign records are retained only for as long as reasonably necessary for campaign administration, legal compliance and complaint handling;
  • where analytics is enabled, its retention is limited to the period reasonably needed for the stated purpose;
  • aggregated reports that no longer identify an individual may be retained for longer; and
  • assessment progress stored only in your browser remains until it expires or you clear the relevant browser storage.

Information may be retained longer where required for a complaint, payment dispute, investigation or legal claim.

13. Security

We use reasonable technical and organisational measures intended to protect personal information.

These may include access controls, secure connections, restricted administrative access, platform security features, backups, monitoring and appropriate service-provider controls.

No internet service, storage system or transmission method can be guaranteed to be completely secure.

You are responsible for protecting your account credentials and should contact us promptly if you believe your account has been used without permission.

14. Your choices and rights

Depending on the law applicable to you, you may have the right to:

  • request access to personal information;
  • request correction of inaccurate information;
  • request deletion where legally available;
  • object to or restrict certain processing;
  • withdraw consent;
  • request a portable copy of certain information;
  • object to direct marketing;
  • complain to an appropriate data-protection or consumer authority; and
  • nominate or authorise another person where applicable law provides that right.

These rights may be subject to legal conditions, exceptions and identity verification.

To submit a privacy request, email info@thefundaccountant.com with the subject:

Privacy request

Describe the information or request sufficiently for us to identify and respond to it. We may request reasonable proof of identity before disclosing or changing account information.

15. Learners under 18

Accounts and purchases are intended for people aged 18 or over. A person under 18 must not independently create a paid learner account or purchase a course. We do not currently offer a verified parental or guardian consent workflow, and an informal guardian email is not a substitute for one.

We do not knowingly collect children’s personal information. If you believe a child has submitted information, contact info@thefundaccountant.com so that we can investigate and delete or restrict it as required by law.

16. Automated decisions

We do not use marketing-site assessment scores to make solely automated decisions that produce legal or similarly significant effects.

Assessment results are educational feedback only. They do not determine employment, professional competence, course eligibility or creditworthiness.

17. External links and social platforms

The website may link to WhatsApp, LinkedIn, YouTube and other external services.

When you follow an external link, that service may collect information under its own privacy notice. We do not control the independent privacy practices of those services.

18. Changes to this notice

We may update this Privacy Notice when our services, providers, analytics, communication practices, legal obligations or data practices change.

The effective and last-updated dates will appear at the top.

Where a change materially affects how personal information is used, we will provide additional notice where reasonably appropriate or legally required.
